As a client of Balanced Beans Bookkeepers & Tax Agents, the protection of your data and personal information is very important to us.

We have taken another step towards tighter security by implementing ATO SmartDocs. Our new ATO SmartDocs mailing system enables us to download all ATO mail on behalf of our clients and distribute it electronically, efficiently and securely.

What are the Advantages of ATO SmartDocs?

ATO mail has now becomes a seamless, digital experience for our clients. What does this mean for you?

Fast delivery of time-sensitive information

Traditional paper mail sent from the ATO can take days or even weeks to reach you through postage methods. Electronically, we can have your mail to you the day it is available.

Enhanced security of your sensitive Information

ATO mail often contains sensitive information including your TFN, taxable income, home address and other personal details. Identity theft is on the rise and documents sent by email or traditional post increase the risk of your information falling into the wrong hands.

Eco-friendly practices for a greener tomorrow

With our new system we can receive and deliver your ATO mail to you without using any ink, envelopes, stamps, fuel or even a single sheet of paper. Across our hundreds of clients this is a win for the environment.

Improved reliability of mail delivery methods

The ATO now uses six different methods to deliver mail to taxpayers. One of these is delivery through myGov which poses problems for many clients that might not realise the document has been delivered and may miss an important lodgement or payment deadline.

What can you Expect when using ATO SmartDocs?

Instant Notification via SMS

When you receive electronic mail from the ATO, you will receive a text (SMS) message. This will advise you to log into your email account and use the 6-digit code in the text message to access your mail.

Note, our system can only send mail digitally if we have a valid email and mobile number for you. If you’ve recently changed your email or mobile number, please reach out via phone or email, so we can arrange to update your records promptly.

Balanced Beans will forward all ATO correspondence addressed to your company directly to you through email, using the address admin@balancedbeans.au. To guarantee receipt of all emails, it is recommended you add this email address to your contacts / safe senders list.

If your details have changed, please contact our office to update your records.

Addressing Common Questions

Can I reply to the email I receive via this system?

The system produces a no-reply email that is unattended. If you have a question, please either email us at admin@balancedbeans.au or call our office on (02) 4046 1000.

Why have I received an SMS but no email?

Our system will only send mail digitally if we have a valid email and mobile number for you. Check your junk mail for the email, otherwise contact our office to confirm your details.

Why have I received an email but no SMS?

Our system operates digitally with a valid email and mobile number. If you’ve received an email without an SMS, it’s possible that the SMS may have been sent to an old or incorrect mobile number. The code in the link is of no use without access to the email. Please contact our office to confirm and update your details.

I am receiving paper correspondence. How do I get digital delivery?

If you’re still receiving ATO mail through traditional postage. it means we either do not have current valid email and mobile details for you, or you have previously asked us to stay with paper delivery. Please contact us to update your details or preferences.

Can I still receive paper correspondence?

While we encourage the use of our digital system for its numerous benefits, we understand that some individuals may not be ready or able to adopt digital platforms. If you prefer paper correspondence, please let us know, and we’ll accommodate your preference accordingly.

Can I save or print the document?

You certainly can. Once you have opened the document, you will have the ability to save it to your local computer or to cloud storage as well as print a copy.

What happens if I lose or delete the email?

Never fear. We can resend the email and generate a new SMS security pin.

What about my tax return or activity statement for approval?

The new system is only for documents we receive from the ATO. All documents that require your approval such as tax returns, financial statements, and activity statements, will still be uploaded to your secure portal for your approval prior to lodgement.
